Remember that courses encompass the total of your cirriculum, much like they do in a traditional setting. Normally, you only need to create a course one time. After you have created the course, you may add an instance of that course to your schedule as many times as you'd like. That instance is then called a class. As an example, you may offer Math 101 as a course. You may offer Math 101 fifteen times over the course of a year, each time with a different instructor, date, fee, etc. You only have to create the course Math 101 one time. After that, you may activate that course as many times (in this case 15) as you'd like and display those dates on your calendar. When the course is activated, the instance is now a class. You will notice when you activate a course, you are asked several more specifics about the class. If you designate your course as an ongoing online self-paced course, you will not be able to add more than one instance as this is unnecessary. You will designate "self paced" when you activate the course.

To create new courses click on the "courses" tab, then click on the "Create A Course" sub link. You'll then see a screen that looks like the one below.

Name the course whatever you want. In the abbreviation field, enter an abbreviated name.

The abbreviated name will show up on your Monthly Calendar. Because of the limited space in the monthly calendar box, the abbreviation is limited in length. The Weekly Calendar will show the full name.

Next, if this course will be an online course (where students take the class online), check the box next to "online course".

If the class will be a timed class (students will be held to a time limit), check the "timed" box, then enter the time in minutes in the "duration" field. The conversion calculator can help you determine how many minutes are in a given number of hours.

Dual Class is for any class given where you will have a mix of students paying different dollar amounts to attend. An example would be a course where you have a mix of students who pay one amount for an initial certification or license, and students who are recertifying their license. This is common in the medical field. If this box is checked, the program will ask the student if they are taking the full course or the recertification class.

SSN Required needs to be checked if you require social security numbers for this class.

Virtual Course Only should be checked if this class will be led in a virtual setting by an instructor in real time using third party software to complete the class, ie; WebX or Video iChat.

The Description is your chance to describe the class cirriculum, content, expectations, cost or anything else you'd like a student to see when they click on the class to get more information. Use the wysiwyg editor (PC only), copy and paste content from another electronic file, write content directly in the description area or write html.

Next, you have the option of writing your own "Autoresponder" or "E-Mail Notification". An autoresponder is the email that is sent to a student after successfully registering for this class. A default response will be sent if you do NOT check the box that says "use this autoresponder". The default autoresponder can only be changed by GuiWeb®. If you would like your default autoresponder changed, click on the "tech support" link above and tell us exactly how you would like your default autoresponder to read. Otherwise, you may write a custom notification for each course. Enter the text you'd like to be in the subject area of the email, then write the content of the email. Don't forget to check the box "use this custom autoresponder".

The program will insert information in this particular information anywhere you specify. Simply enter the "hash markers" exactly the way you see it in the legend in exactly the place you want that information displayed. For instance, if you would like the program to insert the student's name, you would write the following in the content field:

"Congratulations %%%FIRSTNAME%%%, you have successfully registered for the class %%%COURSENAME%%%." The program will insert the appropriate information when sending the email.

When you're finished, click on "Add New Course Name" and this course will be added to your list of courses. Remember, courses are not available to students until you activate them.
